Position Overview

The Lead Marketing Coordinator, under the supervision of the Student Leadership & Recruitment Coordinator, is responsible for overseeing the production of all electronic and print media distributed by the Office of Residential Computing in Student Affairs - Information Technologies (SAIT).

The Lead Marketing Coordinator supervises a Marketing Team, which includes a Web Designer and a Publications Designer. The Lead oversees the development and maintenance of the Residential Computing website, as well as the graphic design and layout of projects for Residential Computing, including but not limited to: web page designs, digital media production, trademark creation, and designing other publicity products such as t-shirts, posters, flyers, etc. In addition, the Marketing Team is responsible for creating and carrying out recruitment campaigns for all SAIT student positions. Working directly with the Student Leadership & Recruitment Coordinator, the Lead Marketing Coordinator also hires and trains a Marketing Publications Designer and a Web Designer.

Qualifications

Required: Previous leadership or supervisory experience; effective communication skills and the ability to interact professionally with a diverse group of clients and staff; ability to balance and keep track of competing deadlines; ability to work productively in teams; demonstrated success with administrative, management, and organizational skills; strong working knowledge of marketing and design; experience with variety of computer graphics and desktop publishing programs; familiarity with web design standards; dependable; attentive to detail; minimum G.P.A. of 2.0.

Preferred: Experience teaching or training others; experience in marketing materials production; experience designing and developing professional web sites; expertise in all Internet applications, especially web browsers and browser specifications; experience with multimedia applications - specifically Adobe Illustrator, Adobe Photoshop, Adobe InDesign, and Microsoft PowerPoint (or equivalent applications); working knowledge of common utilities such as Adobe Acrobat and other publishing related tools; familiarity with video editing tools (Final Cut Pro or Adobe Premiere Pro); familiarity with UNIX; familiarity with CGI and dynamic server-side content; familiarity with various resources to keep up-to-date with latest news in web design community, experience writing documentation, giving presentations, and teaching workshops; minimum G.P.A. of 2.3.

Terms of Employment

  1. The period of employment for this position commences upon hire and continues through the end of the 2012-2013 academic year.
  2. The Lead Marketing Coordinator is paid a wage of $18.25 per hour. The position's classification title is Assistant IV. The Lead Marketing Coordinator must be a currently enrolled UC Berkeley student with a minimum GPA of 2.0 (2.3 or higher preferred). Students with less than a 2.3 may be asked to limit their work hours.
  3. The Lead Marketing Coordinator is required to participate in a training program of approximately 2-5 hours per week during the Spring 2012 semester. This includes mandatory attendance at the spring lead staff trainings on Wednesday, February 22, Friday, April 6, Friday, April 13, and the week of May 14, 2012.
  4. The Lead Marketing Coordinator is required to work up to 30-40 hours per week during summer of 2012. A minimum of 20 hours a week must be worked during regular business hours on at least 3 business days per week.
  5. Active participation in Senior Staff Training (the week of August 6, 2012) and Residential Computing Consultant (RCC) training (the week of August 13, 2012) is required. The Lead Marketing Coordinator must be available for all day training on Friday, August 17, 2012. The only exception will be for students taking a final exam.
  6. The Lead Marketing Coordinator is required to work 12-19 hours per week during the academic year. A work schedule will be determined in consultation with the Student Leadership & Recruitment Coordinator of SAIT.
  7. The Lead Marketing Coordinator is required to work 20-30 hours per week from January 2-9 during winter 2012.
  8. A valid driver's license and a driving record check is required for all SAIT employees who drive the departmental vehicle in the course of their work.
  9. It is a requirement that anyone in this position work in a safe and responsible manner while not putting him/herself or others at risk. This includes complying with applicable policies and regulations; using personal safety gear; observing warning signs; learning about potential hazards; and reporting unsafe conditions.
  10. Employment with the Information Technologies unit is subject to the applicant's ability to provide appropriate documentation and sign necessary papers for employment in conformance with state laws and University regulations.
  11. Continued employment is contingent upon satisfactory job performance evaluation by the Student Leadership & Recruitment Coordinator.

Job Duties

(25%) Lead Responsibilities

  • Schedule and conduct regular meetings with the Marketing Team.
  • Maintain close contact with everyone on the Marketing Team. The Lead Marketing Coordinator should be aware of all ongoing projects and provide support, guidance and resources as necessary.
  • Delegate tasks and follow up to make sure they are completed.
  • Create detailed timelines to coordinate the production and distribution of publications and web materials.
  • Hold an informal check-in with each member of the Marketing Team at least once per semester and conduct one formal performance evaluation per year.
  • Build a sense of teamwork and cooperation within the Marketing Team and other Residential Computing staff. Work closely with other Lead Staff and Senior Staff to accomplish Residential Computing goals.
  • In coordination with the Student Leadership & Recruitment Coordinator, assist in hiring and training the Marketing Team. Update job descriptions, develop selection criteria, and write interview questions. Assist in hiring for other Senior Staff positions as needed.
  • Work with the Student Leadership & Recruitment Coordinator to hire and train additional Publications and Web Design staff during the academic year as needed.
  • Actively communicate with SAIT and/or campus staff and groups to establish channels of communication with customers.
  • In consultation with the Student Leadership & Recruitment Coordinator, provide structured training programs for the Marketing Team during the spring and summer. Additionally, provide ongoing training and staff development for them throughout the year.
  • Train incoming Lead Marketing Coordinator as needed in spring and summer.
  • Attend and actively participate in weekly lead staff meetings. Contribute agenda items when appropriate.
  • Attend regular meetings with the Student Leadership & Recruitment Coordinator. Keep the Student Leadership & Recruitment Coordinator informed of major projects in your area.

(35%) Publications, Production, and/or Web Design

Contribute actively to publications, production, or web design as follows:

Publications
  • Create promotional material including, but not limited to, flyers, signs, posters, and t-shirts.
  • Coordinate reproduction and distribution of printed materials.
  • Write articles and design layouts for promotional/information materials for residents.
  • Edit and create promotional materials for large Residential Computing or IT events including resident Internet registration, hiring cycles, and educational campaigns.
  • Develop information sheets and other educational resources for residents.
Web Design
  • Oversee design, creation, and updating of internal and external web pages for Residential Computing and IT.
  • Create promotional material such as flyers, signs, posters, t-shirts, etc.
  • Oversee design of logos and trademarks.
  • Write articles and design layouts for the Residential Computing website.
  • Remain current with the tools used by the graphics and web design communities including new HTML tags, browser specifications and standards, graphic utilities and programs, etc.
  • Follow detailed timelines to coordinate the production and distribution of publications and web materials.
  • Act as the primary person in charge of the design and production of residential Be Secure materials.

(20%) Marketing

  • Develop and oversee production of Residential Computing marketing materials and procedures for distributing them.
  • Collaborate with the Residential and Student Service Programs (RSSP) Marketing department to produce publish the "Getting Connected" brochure," an introductory publication mailed to all incoming residential students.
  • Work with Residential Computing and RSSP Marketing staff to develop and market the Residential Computing brand.
  • Collaborate with Office of Student Development (OSD) staff to promote various Residential Computing programs such as the In-Room Connection program, the Helpdesk system, instructional workshops, Cal Connect workshops, and Knowledge Base Articles.
  • Oversee creation and contribute to editing of Cal Connect video.
  • Oversee the Residential Computing bulletin program in the residence halls, including ongoing posting audits.

(15%) Administrative Duties

  • Update online calendar regularly.
  • Ensure that status is updated for all marketing requests.
  • Add appropriate marketing projects to project documentation and keep project status updated.
  • Document all marketing projects on an ongoing basis and complete summary reports.
  • Review staff timesheets and submit timesheets before deadlines.
  • Other duties as assigned.

(5%) Staff Development

  • Assist with the training and development of Residential Computing Consultants.
  • Act as a technical resource for Residential Computing staff in the area of marketing and design.
  • Give workshops in various Marketing-related subjects.
  • Maintain extensive documentation for all projects and participate in internal documentation format.
  • Help cultivate an inclusive workplace culture among IT student staff.
  • Maintain online Marketing manual.
